Improving Form Submissions with Automated Workflows

Every organization has forms that need to be completed either internally by employees or externally by partners, customers, or clients. Regardless of whether these forms are print based or digital they often are the starting point to kick of business processes for the organization.  Frequently these processes are partially manual or completely manual processes. Automating these workflows reduces the chances for human error and increases the time to completion. Common areas where problems arise in manual processes include the initial data entry from the form submission, mismatch of data from siloed repositories and losing track of assigned tasks.

Leveraging an automated solution to strip the data from the original forms rather than having someone rekey the data reduces human errors, and processing time. Critical data issues can also be identified before the form can actually be submitted notifying the person completing the form before submitting allowing for immediate feedback rather than having to wait a notification later to inform them their submission could not be processed. 

Utilizing automated data entry empowers forms process to push or pull content from third party applications to either prefill data on digital forms or push submitted data into the appropriate repository.  Sharing a single source of truth helps to ensures the data’s integrity and removes silos and redundant information. 

Employing an automated workflow engine would allow for specific routes for each unique process, notifications on when tasks are assigned to individuals along with reminders and deadlines to ensure tasks do not get lost. Lastly adding in tracking empowers people to determine where in the process their request is.
